Hotels may require a credit card guarantee equal to the first night’s stay inclusive of tax as a deposit. A valid credit card and expiration date should be provided with your hotel room request.
Your credit card may be charged up to approximately one (1) month prior to your arrival date. Hotels may cancel room reservations without notification if the deposit is not received or a valid credit card is not provided prior to your scheduled arrival time.
If you would like to make your deposit via check or money order, first complete the housing form, mark the appropriate box and then fax the form to +1 301 694 5124 or +1 866 229 3691 (U.S. and Canada). Please DO NOT send your check or money order to the Housing Bureau as they will not be able to secure your room.
Checks, money orders or cash received for hotel deposits will be returned to you. Mail your check, money order or cash directly to the hotel after 4 August 2014 along with your hotel acknowledgement letter.

Multiple Room Requests
You can reserve up to five (5) rooms online with individual names and use only one (1) credit card. You can also use multiple credit cards as well.
Please contact the Housing Bureau at email@example.com to request a suite. It is highly recommended that a standard hotel room also be reserved in the event the suites are unavailable. Standard cancellation and deposits will apply to suites as well.
To receive the URTeC conference room rate, all hotel reservations must be made through the Housing Bureau/Experient (see right sidebar). Get hotel rates.
Changes and cancellations to existing reservations may be made online or by contacting the Housing Bureau prior to Monday, 28 July 2014. Any changes or cancellations after this date must be sent directly to the hotel without guarantee of refunds. At many hotels, any guaranteed room reservations not cancelled 24-72 hours prior to arrival and not used will subsequently be billed by the hotel to the credit card on file and any deposits made will be forfeited.
In addition, some hotels may charge a penalty fee for early check-out if they are not notified prior to the check-in/arrival date. It is suggested that changes in departure dates are provided at least 72 hours prior to check-in.
When choosing your hotel please consider the mode of transportation available to your hotel. All hotels in Downtown Denver are at least 30-45 minutes from the airport. There are shuttles available and discounted rates for URTeC attendees. Learn more about these rates. Taxi rides will range from $50-60 one way.
